Excel alternate row color

Here are the two main ways to alternate row colors in Excel, making your spreadsheets more visually organized and easier to read:

Method 1: Using Conditional Formatting

  1. Select the Range: Highlight the cells where you want to apply alternating colors.
  2. Access Conditional Formatting: Go to the Home tab, click on Conditional Formatting, and choose New Rule.
  3. Use a Formula: Select “Use a formula to determine which cells to format”.
  4. Enter Formula: Type the following formula into the formula box: =MOD(ROW(),2)=0
  5. Set Formatting: Click on Format, select your desired fill color for even-numbered rows, and click OK.
  6. Apply Formatting: Click OK again to apply the conditional formatting rule.

Method 2: Using a Table Format

  1. Format as Table: Select your data range and click on “Format as Table” in the Home tab.
  2. Choose Style: Pick a table style that has alternating row colors.
  3. Apply Table Features: The table will automatically format with alternating colors, plus offer filtering and sorting capabilities.

Additional Tips:

  • Customize Colors: To change the colors used for alternating rows, go to Conditional Formatting > Manage Rules and edit the rule’s formatting.
  • Dynamic Updates: Both methods automatically apply colors to new rows as you add data, maintaining visual consistency.
  • Whole Rows: To format entire rows, select all the cells in the row, including those outside the data range.
  • Clear Formatting: To remove alternating colors, go to Conditional Formatting > Clear Rules and select “Clear Rules from Entire Sheet” or a specific range.
